Key Responsibilities:
1. Administrative Support:
o Perform general office duties such as answering phones, greeting visitors, and managing correspondence.
o Schedule and coordinate appointments, meetings, and school events.
o Maintain and update student records, including enrollment, attendance, and health information.
2. Communication:
o Serve as the first point of contact for parents, guardians, and visitors, addressing inquiries and providing information.
o Prepare and distribute school newsletters, notices, and other communications as required.
o Assist in managing and updating the school’s website and social media platforms.
3. Record Keeping:
o Ensure accurate and confidential handling of student and staff records.
o Maintain filing systems, including electronic and paper documents.
o Assist with the preparation and management of reports and documents related to school operations.
4. Student Support:
o Assist with student attendance, including monitoring and recording absences and tardies.
o Help manage student health needs, including administering basic first aid and coordinating with the school nurse.
o Support the safe and orderly arrival and dismissal of students.
5. Financial and Inventory Duties:
o Assist with basic financial tasks such as processing payments and managing petty cash.
o Maintain inventory of office supplies and order replacements as needed.
6. Office Management:
o Ensure the office area is well-organized and stocked with necessary supplies.
o Operate office equipment, including photocopiers, fax machines, and computers.
o Assist with other administrative tasks as assigned by the principal or school administration.
Qualifications:
• High school diploma or equivalent; additional education or certification in office administration is a plus.
• Previous experience in a clerical or administrative role, preferably in a school setting.
• Strong organizational skills and attention to detail.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
• Ability to handle sensitive information with confidentiality.
• Demonstrated ability to interact effectively with students, parents, and staff.
Physical Requirements:
• Ability to sit for extended periods and perform tasks requiring repetitive motions.
• Ability to lift and carry light objects (up to 25 lbs).
Work Environment:
• Office setting within a school environment.
• Interaction with students, parents, teachers, and staff in a professional manner.
