Summary
The Athletic Director provides strategic leadership, administrative oversight, and daily management of the Claremore Public School District’s comprehensive athletic program. The primary objective is to foster a competitive, safe, and compliant environment that promotes the physical, social, and academic development of student-athletes in alignment with the district’s mission and vision.
Essential Functions
These statements are intended to describe the responsibilities assigned to this position and are not intended to represent an exhaustive list of all responsibilities, duties, and skills required.
Leadership & Administration
• Administer all aspects of the district’s athletic program (grades 6-12) in compliance with the program budget, OSSAA rules, and Title IX regulatory guidelines.
• Oversee game-day operations for all home events; ensure facilities are competition-ready, including field/court preparation, scoreboard functionality, and spectator safety.
• Conduct annual reviews of athletic policies and procedures, submitting proposed changes to the Superintendent by May 1st each year.
• Attend practices and contests to monitor program quality, student-athlete safety, and coach-athlete interactions.
• Coordinate out-of-town activities, including transportation schedules and overnight travel, in conjunction with building principals.
• Maintain comprehensive records, including annual physicals, health/injury notices, insurance, and parent consent forms.
• Monitor and ensure weekly scholastic eligibility for all student-athletes.
• Assign and track facility keys and coordinate the use of athletic facilities for the band, sports teams, and outside groups.
Budget & Fiscal Management
• Collaborate directly with the District CFO and building principals regarding athletic budgets, equipment purchasing, and the assignment and processing of coaching stipends. Prepare specifications for athletic bids and supervise the purchase and maintenance of all materials, uniforms, and equipment.
• Submit an annual proposal to the Superintendent addressing admission costs, equipment needs, and long-range planning by January 1st.
• Supervise all fundraising events and ensure proper handling, receipting, and accounting of all monies in accordance with district policy.
• Supervise and sign all requisitions from athletic and booster club activity accounts.
Personnel Management
• Recruit, supervise, and evaluate all coaches, trainers, and athletic staff; recommend employment actions (hiring, retention, discipline, or dismissal) to the Superintendent.
• Hire officials and ensure appropriate health personnel and security are assigned for all home athletic events.
• Model and require high standards of sportsmanship and professional behavior from all coaches and players.
Community & Public Relations
• Articulate the district's mission, vision, and values to the community to solicit support for the athletic program.
• Serve as the primary liaison to ZTV and the Communications Department to market athletic programs and student-athlete achievements. Must provide evidence of successful promotional initiatives across multiple channels that increased attendance, community engagement, or program visibility.
• Maintain positive relations with staff, students, parents, and the public through effective communication and conflict-resolution techniques.
• Regularly participate in conference meetings, OSSAA meetings, regional coaches meetings and professional development opportunities.
Supervisory Responsibilities
Directly supervises all coaches, assistant coaches, athletic trainers, and athletic department volunteers.
Education and/or Experience
• Required: Valid Oklahoma Teaching Certificate.
• Required: Minimum of three (3) years of experience head coaching, serving as an athletic director, or school administrator.
• Required: Master’s Degree in Sports Administration, Education, or a related field.
Qualification Requirements
• Must be at least 21 years of age.
• Must pass a comprehensive background check.
Knowledge/Skills/Abilities: Computer literate with proficiency in Athletic Management Software (e.g., Rank One, DragonFly) and office productivity suites. Ability to work independently with initiative and enthusiasm. Strong interpersonal skills with the ability to work as a team player alongside faculty, staff, and administrators. Deep knowledge of OSSAA regulations and Title IX compliance. Ability to document records accurately and listen effectively.
Language/Mathematical/Reasoning: Ability to read, analyze, and interpret complex regulatory documents. Ability to give professional instruction and interact with the media. Ability to apply mathematical concepts to budget management and financial reporting. Ability to define problems, collect data, and draw valid conclusions regarding student eligibility and disciplinary matters.
Physical Demands & Work Environment
Physical Demands: While performing this job, the employee is regularly required to stand, walk, and move throughout athletic facilities. Must have the physical stamina to attend evening and weekend events.
Work Environment: The employee occasionally works in extreme temperatures (above 100º and below 32º) and may walk on slippery surfaces. The noise level is frequently loud. The employee must be able to meet deadlines with severe time constraints and has direct responsibility for the safety and well-being of student-athletes and spectators.
